The secret life of a press release

Have you wondered how a press release gets produced?  Read on …

Writing press releases is something we do daily, almost with the same familiarity (and passion) a baker has for his bread.  But though we may talk with our clients about number of releases, column cm and more, we seldom have the opportunity to explain how we produce them.

For the purpose of this article let’s focus on case studies, as they sit somewhere between shorter product releases and complex technical articles – but the internal processes are similar. Case studies offer clients an excellent opportunity to have their products or services endorsed by their customers, so can provide powerful and persuasive promotional tools.  Editors really like case studies as well, as they show technology in action and often prove to be the most read items in trade and technical publications.

Once we’ve been given the go-ahead by our client we firstly consider the best approach and carry out background research before interviewing the external sources.  This can be a quick or, more often, lengthy process, as people can be difficult to pin down, especially in large organisations; we may also need to deal with different departments to get both the information we need and approval to proceed.  

Once we’ve conducted interviews and gathered all the facts then one of our skilled copywriters will draft the case study in consultation with our client account management team. The draft will then be finalised before going into our internal review cycle. This quality management process involves up to three proof readers, checking the piece for grammar, as well as for its technical and PR content.  

Occasionally the article may be returned to the copywriter for amendments, but once we are satisfied that it is of the highest possible standard we submit it to our client for approval, followed by the third party; in some instances, depending on requirements, we may submit the case study to both parties simultaneously.

A key part of our role at this stage is to chase approvals in as diplomatic a manner as possible, ensuring that we get prompt sign off from all concerned and sourcing the best possible images at the same time.

Publishing depends on a variety of factors. If appropriate, the case study is placed by our Media Manager on an exclusive basis with a leading publication, followed by general release to all appropriate media. Alternatively, the story can go straight into general distribution using our dedicated email and newsfeed services.  The distribution and monitoring process is quite complex, but this could perhaps be a topic for the next newsletter!

We’re always seeking ways to increase the visibility of your press releases, making it easier for journalists to access the relevant information, so that they can use it and feature your news more widely.   

As a result we are now adding a QR code to all your press releases.  This links to a page where additional information can also be downloaded, as well as items such as high resolution images.

In addition, we are now feeding all our press releases into Twitter and  we are also devising a method of issuing press releases based mainly on Twitter feeds and, later on, in multimedia format (watch this space!).

We are part of the prestigious PRCA (Public Relations Consultants Association) and our Managing Director, Nick Brooks, has been invited to be a member of the Judging Panel at the annual awards being held at the London Hilton on November 15th.  

4CM takes an active role in promoting the interests of the B2B sector with the PRCA, especially in the ongoing development of best practices and greater transparency on the distribution of press information.  The invitation to be a judge is a testament to our professionalism and reputation in the industry.

We have restructured our team slightly, to improve our client service processes and make us more responsive than ever, with more comprehensive reporting procedures.

Susan_SmithWe welcome Susan Smith, who is now our ‘Client Champion’ or Client Services Manager.  Susan will ensure that all operational aspects are well managed (e.g. reporting, job deadlines, updates and so on), supported by her own team, and working with Sarah Harris, our Production Manager.

In the past some of these tasks were performed by individual Client Executives, so we have now centralised all these operations.  We are confident that these changes will result in ever improved day to day practices, so that we can provide you with ever higher levels of strategic advice.

Sarah overseas all aspects of human resources within the entire organisation, as well as making sure that the cogs are well oiled, so that we never run out of toner and similarly essentially day to day necessities, such as ample quantities of coffee! She is fundamentally our Passepartout and although her presence may go unnoticed by most of our clients her role within our organisation is absolutely vital. In her spare time she is a busy mum of two lovely young children who are incredibly well behaved when they come and visit us, but are seemingly less so at home. Oh, the vagaries of child rearing….

The previous offer resulted in a number of inquiries and some questions too. So here is a brief FAQ:

Do you provide the system yourself?
No, this system is provided by one of our partner agencies as it requires highly specialist IT knowledge

Is this just basic metrics, like Google Analytics?
Most emphatically not. Thanks to this innovative solution you would be able to log exactly who views a page, including information such as the company itself (at the very least) and in many instances additional details such as person’s name and their email address.

Is it legal?
Certainly. The system doesn’t rely on cookies so it escapes the recent EU legislation on the subject. It isn’t intrusive and it’s merely an intelligence gathering tool, relying on a number of sources to provide you with the information you really need to process leads from visitors to your web site, rather than just an IP address or other basic data such as country of provenance.

Is it expensive?
It’s all relative. If you rely on sales and you have not been able to create a sufficiently sticky web site to generate leads, or your business is too complex this tool will be invaluable and will provide tangible returns in little time if used correctly.
